How to easily connect WPForms and Zapier
Running an online business involves you doing multiple tasks in a day such as product development, content creation, traffic generation, data management and more.
Out of everything that you do, there are always several jobs that need more of your time and attention than others.
However, at times things can get a little out of hand and if you are not well planned then you might end up putting your time and effort into something where it is not required.
For example, if you are using social media just to share links and you are putting 20 minutes in a day on it then this may not look like a huge time investment for the time being.
But if you calculate it over a longer period of time such as weekly, monthly or yearly then you will realize that you have put plenty of time in doing something that could have been a bit differently.
And it would have saved you a lot of time that you could have invested on something better.
This is a very common scenario that can happen with anyone who is starting out and does not have access to all the tools.
There is a simple solution to this problem and that is automation.
Now, when you automate such monotonous tasks then it takes your mind off of the not so important and you can focus much better on things that actually needs your attention.
And this leads to improved productivity.
Before we move forward, it is important to know when you are running a website or a blog, automation will often gets related social media and that is not always the case.
See- Website vs Blog
There are other tasks as well that can be automated.
For instance, lets say you have created a form on your on site and have started collecting data from users.
Initially, there are chances that you may not get too many entries and hence moving that data into a marketing tool or a document can be done easily without having to invest too much time.
On the contrary, if this form is flooded with responses then the task will become time consuming and it will be much better for you if it is automated.
Keeping this in mind, in this article we will be discussing how can you easily connect WPForms with Zapier and automate your workflow.
We will be starting this tutorial by first getting to know the both the products a little better and then will dive into the actual process.
In case you are familiar with both WPForms and Zapier then you can jump to the tutorial section by using the Table of Content in the sidebar.

This is where WPForms comes to the rescue.
WPForms is one of the best form builder plugins using which you can create any type of form easily in WordPress.
Often form builder plugins by default get associated with creating and adding contact forms. However, WPForms allows you to do a lot more and you can create various types of forms using it such as

On top of this huge list of forms, WPForms comes with a library of 160+ pre built templates that makes the job much more easier and quicker.
In case you want to create your own form or add fields to an existing then this plugin comes with a drag and drop functionality and using this all you have to do is drag the field and drop it where you want it to appear.
And the plugin will take care of the rest without you having to worry about coding.

Personally speaking, we are using WPForms on some of our sites and will highly recommend using this plugin.

Now, when anyone fills the form, an entry is created automatically in the tool. Keeping us organized and on top of things.
The best part of this is we don’t have to spend any time in going through the all submissions and organizing them manually.

For this tutorial, we will be creating a free account on Zapier.
To create an account on Zapier, the first thing you have to do is visit Zapier.com and click Sign up button on the top right.

Create a Form using WPForms
Before we move forward, it is important to know that Zapier uses API’s to connect various applications and move information.
Unlike the WPForms and SendinBlue integration, here you will have to add the WPForms API in Zapier when creating a zap or an automation sequence.
Also, it requires you to select the form that you will be using to accept data from users.
And that is why it is required you create a form first and pass a dummy value. (More on this later)
Having said that,
To create a form using WPForms, you need to go back to your WordPress dashboard and navigate to WPForms in the sidebar and then click Add New.
Doing this will take you to the form builder where you have to select a template.
For demonstration purposes, we are going to select the Newsletter Sign Up form as it is a simple form that allows users to enter their names and email addresses.
After you are done creating a form, add it to a page or a post using the shortcode or WPForms block.
Once you are done embedding the form submit a dummy value and after that the next step is to
Create a Zap in Zapier
For creating a zap in Zapier, you need to go to your Zapier dashboard and click Make a Zap on top left.
On clicking this button, it will take you to a new page where you will have to select a Trigger.
A trigger is something that will start the automation sequence and in this case it is WPForms.
You need to search for WPForms here.
Once found, select the application and it will take you the next step which is to choose a trigger event.
After selecting an event, click Continue and it will ask you to Sign in to WPForms.
You need to click Sign in to WPForms here and a popup will appear where you will have to add the WPForms API and the URL of the website.
As mentioned above, Zapier connect the apps using their respective API’s and in the next step you need to
Locate WPForms API
Finding the WPForms API is pretty simple and all you have to do is go back to your WordPress dashboard.
And navigate to Settings in WPForms
And this time you need to go to the Integrations tab under which you will see the option to integrate Zapier.
When you click this option, it will show you the WPForms API key.
Now, you need to copy this API key and paste it in the popup along with the complete website URL. See the below screenshot for reference.
Once you are done till here, you need to click Yes, Continue and it will prompt you to choose which account you want to use for the Zap.
You can use the drop down to select the account and then click Continue.
On doing this, it will ask you to set up a trigger in which the first step is to select a form that you have created using WPForms.
You can select a form using the drop down and then click Continue.
Doing this will take you to the next step where you will have to Test the Trigger.
Before you click the Test Trigger button, it is important you add a dummy entry in your form (in case you haven’t done it previously) so that Zapier can confirm you are using the right account and form.
For this you can add any demo information (suggested during form creation) as that is what we have done here.
If you have done it then you can click Test Trigger and it will show the form entry. See the below screenshot for reference.
Here you need to check the values and if everything is retrieved correctly then you need to click Continue.
And this will take you to the next stage which is Action.
Here you can select an app that you want to connect with WPForms.
Zapier gives you an option to choose from over 2000 apps and automate your workflow. Here are a few examples.
And that’s it you have successfully connected WPForms to Zapier.
Before you leave, it is important that you know forms on a website are very prone to spam submissions and you can stay away from any such submissions using CAPTCHA.
